Centretown Community Association Newsletter

1. Purpose and Mission
The newsletter is an official communication tool of the Centretown Community Association (the “association”) offering content that is respectful, inclusive and community focused.
The newsletter is intended to:
Inform community members of news, projects, and events related to the association;
Encourage volunteer involvement; and
Strengthen community relations.
2. Editorial Oversight
The newsletter is published with the support of the association’s Board of Directors.
A volunteer editor is selected by the Board of Directors or its Communications Committee.
The editor is responsible for collecting, organizing, and preparing content.
The editor may edit submissions for clarity, length, grammar, and tone.
3. Content Categories
Newsletter content must relate to association business or sponsored events. To ensure this focus, advertising – whether paid or unpaid – is not accepted. Content originating outside the association, may be included where it is demonstrably relevant to members or the community and must identify the originating organization or sponsor.
The newsletter may include:
(a) Association Business
Board and committee meeting highlights
Policy changes and rule reminders
Volunteer needs and opportunities
(b) Community News
Upcoming association events
Community interest articles or initiatives that are relevant to the association’s members.
(c) Public Information
City of Ottawa updates affecting Centretown residents.
All submissions are subject to editorial review.
4. Content Standards
All submissions must be respectful and constructive in tone. The newsletter will not publish:
Personal attacks or accusations;
Legal complaints or ongoing disputes between members;
Political endorsements or partisan advocacy;
Commercial advertising (unless the Board adopts a formal policy allowing limited ads).
Concerns or disputes should be directed to the Board and not submitted for publication.
5. Submission Guidelines
Content is submitted via link provided by the editor.
Publication dates are set on a month-to-month basis by the editor and may shift occasionally due to editor and content availability.
The editor may revise submissions for clarity, length, grammar, and style.
Submissions may be declined if they do not meet these guidelines.
6. Neutrality and Fairness
The newsletter will present information objectively.
Board decisions will be summarized accurately without editorial comment.
If covering controversial issues, balanced viewpoints may be included where appropriate.
7. Privacy and Confidentiality
The newsletter will not publish:
Personal contact information without consent;
Confidential legal matters or sensitive personal disputes.
Photos published should respect individual privacy. When individuals are clearly identifiable in an image, contributors are responsible for ensuring that permission has been obtained before submitting the photo for publication.
8. Corrections Policy
If an error is identified, a correction request may be submitted in writing to the editor.
Minor corrections will be clarified in the next issue.
Significant errors may be corrected via email or on the association’s website.
9. Distribution & Format
The newsletter may be distributed monthly via email or posting on the association’s website.
Archived editions will be maintained for member access.
10. Amendments to Guidelines
These editorial guidelines may be amended by the Communications Committee or the Board of Directors as needed to ensure the newsletter continues to serve the best interests of the association.
